The Terms and Conditions of The Horse’s Tipple Bar Hire
Please pay all invoices within 14 days from the date sent.
Bar opening hours and set up and clearing away times must be agreed beforehand with sufficient time allowed to set up and pack away and vacate the venue after the event. You must inform us of any time restrictions, parking restrictions or parking height restrictions. We require four hours to set the bar up and four hours to clear away (timings may vary depending on guest numbers, the total amount of bars required etc). It is the hirer’s responsibility to liaise with the venue to ensure that it is open and in a suitable state for the bars to be set up. The Horse’s Tipple accepts no responsibility for any delays.
Pay Bar Customers
Guests are required to purchase their drinks from the bar we provide for your event. This means that guests are not permitted to bring their own drinks for consumption at the venue this includes non alcoholic/soft drinks. This is a licensing condition for which we retain responsibility. We reserve the right to confiscate unauthorised drinks or remove them from the premises.
Arrival / Reception
Drinks provided by you (corkage fee may apply) or The Horse’s Tipple are permitted providing they are for consumption during the pre-meal period and are limited to two drinks per person, one on arrival and one after the wedding ceremony. We would ask that you inform us if this is the case in advance so that we know what arrangements have been made.
Table wine
Table wine and all other table drinks including drinks for toasting arranged by either you or The Horse’s Tipple are permitted providing they are for consumption during the meal only. We charge a corkage fee if you are supplying table drinks. All drinks must then be removed from the tables after the meal. We would ask that you inform us if this is the case in advance so that we know what arrangements have been made. All other drinks provided for your event must be supplied by The Horse’s Tipple.
Age / ID Policy
We operate a strict policy on underage drinking. Any guests that appear to be under 18 years of age may be challenged for photo I.D. Acceptable formats include driving licenses, passports or pass-approved I.D. card.
License for the sale of Alcohol
We are responsible for the operation of your bar in accordance with the licensing (Scotland) Act 2005, therefore the premises used for the event including marquees and outdoor areas, will have to be licensed to permit the retailing of alcohol for the duration of the event and the licensing law will be in operation. The licensing laws in Scotland require each booking to have an occasional license to sell alcohol, therefore we require a minimum of 45 days notice in order to ensure we have the license for your chosen date.
Additional Drinks Packages
The Horse’s Tipple offer a very competitive drinks package whether it is arrival, reception, table wine and toast drinks, we will require payment, in full, no later than 14 days prior to the event date.
Token System
The Horse’s Tipple offer a token system where guests can ‘purchase’ their own welcome drinks from the bar using tokens paid for by the hirer. The set amount per token must be agreed and all tokens paid for 14 days prior to the event. The Horse’s Tipple will provide the tokens for use on the day of the event.
Pre-paid Bars
A bar tab limit and/or time frame for service will be pre-agreed and paid for prior to the event. The Horse’s Tipple will require the bank details of the hirer to refund any monies due if the pre-agreed amount is not reached on the day of the event. We will inform the hirer when the pre-agreed tab is near the set limit, it is then up to the hirer’s discretion if they want to increase it on the day of the event, or if the hirer prefers, we can revert to a cash bar where guests pay for their own drinks. The Horse’s Tipple will send an invoice detailing any additional drinks bought.
All-inclusive Bar
For the all-inclusive drinks package, the complimentary bar service will commence after the wedding breakfast is finished, this excludes soft drinks which will be available throughout. The opening times of the bar must be agreed upon prior to the event, any additional time may be subject to an additional charge. The Horse’s Tipple will not serve large rounds of drinks at the bar, this is to prevent unnecessary wastage and so bar staff are able to judge the intoxication of guests. Anyone who appears to be under the age of 18 will be asked for ID.
We reserve the right by law to refuse service to anyone who appears to be overly intoxicated. This is up to the discretion of the staff on the day at the bar in line with current licensing laws. Staff also reserve the right to refuse service if there is unnecessary wastage of drinks where drinks are being repeatedly ordered at the bar but not being drunk by patrons. Drinks will be available in the following measures: wine 175ml, prosecco 125ml, spirts 25ml, draught lager, beer and cider (if applicable) pint and ½ pint. Drinks may be substituted subject to availability.
Subsidised Bar
The hirer can pay a pre-agreed amount to reduce the price of drinks at the bar for guests. This must be agreed upon and paid for in advance, no later than 14 days prior to the event. After this is met the bar will revert to normal prices for guests to purchase their own drinks.
Bespoke package Terms & Conditions
There may be a minimum purchase order if a particular brand of drink is requested. This will apply to brands which may be difficult to sell at other events.
Liability
The Horse’s Tipple mobile bars cannot accept responsibility for any damage to persons or property or injury caused by the items/services which are under the hirer’s responsibility, or any liability for any claims that come about from any event concerning or involving items/ services hired by us.
